On behalf of the Virginia Society of Ophthalmology, I would like to thank you for agreeing to speak at our 28th Annual Scientific Meeting. Our meeting will be held on June 3 – 4, 2011  at the Williamsburg Lodge in Williamsburg, VA
  

Our sessions are largely didactic and our audience consists of eye physicians and surgeons. Ophthalmic technicians with extensive experience may also attend our sessions. Below we have included a summary of evaluations from our previous meetings to assist you in preparing for your audience.

After participating in our annual scientific meeting, successful participants should be able to

  • Demonstrate understanding of complications of ophthalmic disease and surgery
  • List principles of management of ophthalmic complications
  • Outline advances in the specialty areas of glaucoma, cornea, cataracts, pediatric ophthalmology, oculoplastics and diseases of the retina.

 Please review the  “Presenter Agreement.” This document answers common questions and concerns that keynote speakers, moderators, VSO member speakers and poster and abstract presenters have about our meeting. To limit potential misunderstandings, we ask that you review this document and sign and return page three of the document to us by January 15, 2011.

 

In accordance with the requirements of the School of Medicine, Virginia Commonwealth University, Medical College of Virginia Campus (VCU), our accredited provider of continuing medical education, our speakers are required to comply with the ACCME Standards for Commercial Support of CME.

 

We will be disclosing to our participants the sources of educational grants for this annual scientific meeting. As our speaker, you must also disclose any significant financial interests or relationships that you may have with our for-profit supporters or the manufacturer(s) of any commercial product/service that is discussed as part of your presentation.  To this end, we ask that you complete the enclosed Conflict of Interest Disclosure Form and return it to our office by January 15, 2011.
 

The Standards of Commercial Support of CME also require that your presentation be free of commercial bias and that any information regarding commercial products/services be based on scientific methods generally accepted by the medical community.  When discussing therapeutic options, it is our preference that you use only generic names; if it is necessary to use a trade name, then those of several companies must be used.  Further, should your presentation include discussion of any off-label or investigational use of commercial product, you are required to disclose this to the participants. 

 

After reviewing the Presenter Agreement and the Standards of Commercial Support, if you should you determine that you cannot comply with these requirements, please call me as soon as possible.

 

The Virginia Society of Eye Physicians & Surgeons will coordinate audiovisual needs with appropriate vendors for the meeting. We will provide laptops, an LCD projector, screen, and microphone.   Please inform this office no later than April 1 if you require additional audio-visual support.  We also provide participants with instructional materials (course syllabus).  In order to meet printing deadlines, please provide copies of the instructional materials you wish to include as a handout, no later than April 1, 2011. We prefer that these materials be provided electronically, on a CD, or through another digital medium.  If this is a problem, please call us immediately so that alternative arrangements can be made.  IF YOU HAVE VIDEOS OR OTHER ANIMATIONS YOU PLAN TO SHOW, please submit them to us by April 1, 2011, so our audiovisual provider will have time to test them for problems.

 

We will conduct post-activity evaluations in accordance with the requirements of the accredited CME provider. These evaluations ask participants to indicate the appropriateness of presentations to their specific practices, if the presentations satisfied the stated objectives, if they were satisfied with the faculty presentations, and if there was any evidence of commercial bias.  The results of these evaluations are used to plan future CME activities and are shared with the faculty.

 

To assist us in promoting your involvement in our program, please send us the following materials by January 15, 2011 

r     A “head shot” photo for use in promotional materials, posting on the website, and  inclusion in the program

r     Copy of current CV

r     A brief biographical summary to be used in promotional materials, posting on the website, inclusion in the printed syllabus and for use in introductions

*******         Please note – we need a current CV and a biographical summary. The CV is required for CME approval and, the biographical summary cannot be used as a substitute for that purpose****

r     Confirmed title of your presentation, and three  key objectives

r     Completed Speaker Disclosure/Conflict of interest form (required by our CME providers)
